There are hundreds of AI tools being marketed to business owners right now. Most of them are wrappers around the same underlying technology with a different logo and a monthly fee.

Here is what actually works — the tools I use and recommend to business owners who want real results without spending months experimenting.

For Thinking and Writing: ChatGPT or Claude

Pick one. Use it every day.

These are the foundation. Every business owner who gets real value from AI has made one of these a daily habit — not for gimmicks, but for the grunt work of running a business.

What they are genuinely good for:

ChatGPT (OpenAI) tends to be better at following specific formatting instructions and writing in a particular voice. Claude (Anthropic) tends to give longer, more thoughtful responses and handles nuanced requests well. Both have free tiers. Both are worth $20/month if you use them seriously.

The single most important thing you can do: set up custom instructions. Without them, you're starting every conversation from scratch.

For Automation: Zapier or Make

If ChatGPT is the brain, Zapier and Make are the hands.

These tools connect your apps — your CRM, your email, your scheduling software, your invoicing tool — and automate the handoffs between them. They have been around for years, but the addition of AI steps has made them dramatically more powerful.

Practical examples:

You do not need to write code. You build these workflows by connecting boxes in a visual editor.

Zapier is easier to learn and has more integrations. Make is more powerful and cheaper at volume. Start with Zapier if you are new to automation.

For Meeting Notes: Otter.ai or Fireflies

Every meeting you attend produces information that immediately starts to fade. These tools record, transcribe, and summarize meetings automatically.

Connect one to your Google Calendar or Zoom account. It joins your calls silently, captures everything, and sends you a summary and action items when it is done.

This alone is worth the subscription for anyone who spends more than a few hours per week in meetings or on sales calls. You stop losing things that were said. You have a searchable record. And you never have to write meeting notes again.

For Research and Summarization: Perplexity

When you need to understand something quickly — a new regulation, a competitor, a vendor, an industry trend — Perplexity gives you a researched answer with sources in seconds.

It is not perfect and it should not replace your own judgment. But for getting up to speed fast, it is dramatically better than Googling and reading ten different pages.

What I Tell Business Owners

Stop looking for the magic tool. There is no app that will run your business for you.

The business owners who get the most from AI are the ones who pick two or three tools, commit to using them consistently, and build habits around them. Not the ones who sign up for everything and integrate nothing.

Start with the writing and thinking layer (ChatGPT or Claude). Add automation when you have identified a specific repetitive task worth eliminating. Add meeting notes if you are losing things in conversations. That is a complete stack for most small businesses.
